Legal Industry Case Study: Cloud Migration, Endpoint Modernization, and Workflow Transition

Client Profile

This client is a legal services firm with a focus on estate planning and tax-related work. As a document-intensive organization handling sensitive client information and specialized applications, the firm relied on a combination of on-premises systems, desktop-based workflows, and third-party tools to support daily operations. Techmedics worked closely with the client’s Office Manager to guide the transition in a way that supported both operational continuity and end-user adoption.

Project Summary

A legal practice focused on estate planning and tax services engaged Techmedics to modernize its IT environment by migrating core systems and user workflows from legacy on-premises infrastructure to a cloud-based platform. The project included identity modernization, data migration, workstation upgrades, workflow adjustments, and the retirement of legacy systems, enabling more secure access, simpler administration, and stronger support for remote work.

Challenges

The client’s legacy environment created complexity across identity management, file access, application delivery, and remote work. Core systems and user data were still closely tied to on-premises infrastructure, limiting flexibility and increasing dependency on aging systems and traditional access methods such as VPN.

At the same time, the firm depended on several critical legal and tax applications, including Lacerte and HotDocs, along with Microsoft 365, Zola, LiquidFiles, and third-party file sharing tools. Moving these workflows to a cloud-based model required careful planning to avoid disrupting productivity, document access, template usage, and file organization.

The client also needed to modernize endpoints and user profiles, transition domain-joined systems to a cloud tenant, and ensure staff could continue working efficiently whether in the office or remotely. Because legal operations are highly document-driven, even relatively small changes to file paths, templates, profile settings, or sharing methods had the potential to create significant friction for users if not managed carefully.

Executive Summary

Techmedics helped this legal firm transition from a legacy on-premises environment to a more modern, cloud-based IT platform centered around Microsoft 365, SharePoint, Entra ID, and cloud-managed user access. The engagement included migrating identity services from on-prem Active Directory to Entra ID, moving data from local servers into SharePoint and OneDrive, redirecting critical software dependencies into a cloud-ready model, and assisting users through workflow changes tied to document management and application access.

In parallel, Techmedics supported workstation modernization through Windows 11 upgrades, cloud tenant domain joins, desktop redirection, and local profile reconfiguration. The project also included replacing legacy external file-sharing processes with cloud-based alternatives and reducing reliance on VPN connectivity by enabling more direct access to cloud resources.

The result was a more streamlined and flexible IT environment that better aligned with the client’s operational needs, supported remote work more effectively, and positioned the firm to move away from aging legacy infrastructure.

Our Solutions

Cloud Identity and Endpoint Modernization

Techmedics migrated the client from on-premises Active Directory to Microsoft Entra ID, helping establish a more modern identity foundation for user access and device management. Systems were joined to the client’s cloud platform tenant, and local user profiles were adjusted and reconfigured to align with the new cloud-based identity model.

As part of this transition, Techmedics also supported profile migration to Azure AD and implemented desktop redirection for individual end-user data through OneDrive. This helped move user data out of siloed local environments and into a more centrally accessible cloud ecosystem.

Data and Document Platform Migration

To reduce dependency on legacy file servers, Techmedics migrated data from on-premises servers into Microsoft 365 SharePoint. This included spinning up SharePoint sites and managing the security considerations and migration nuances required for a legal organization with document-heavy workflows.

Because the firm’s daily operations depended heavily on consistent access to templates, documents, and shared resources, Techmedics also worked through the downstream effects of these changes on Microsoft Word template locations, HotDocs file locations, and other application-specific file dependencies.

Critical Application and Workflow Transition

A major component of the project involved redirecting key software infrastructure to support the new cloud-based environment. Techmedics helped transition systems and workflows tied to:

  • Microsoft Office and Microsoft 365
  • Lacerte
  • HotDocs
  • Zola
  • LiquidFiles

The team also supported remote desktop access scenarios across both Mac-to-Windows and Windows-to-Windows environments, helping ensure users could continue accessing necessary systems while adapting to the new infrastructure model.

File Sharing and Remote Work Enablement

To modernize collaboration and external sharing, Techmedics migrated third-party file-sharing processes to a cloud-based file-sharing platform using ShareFile. This helped replace older external sharing methods with a more current cloud approach aligned to the firm’s evolving workflow needs.

Techmedics also enhanced the client’s remote work capabilities by reducing dependence on VPN access and shifting users toward more direct access to cloud services. This improved accessibility for staff working outside the office and supported a more flexible operating model.

Legacy Infrastructure Retirement

With the cloud migration in place, Techmedics assisted the client in decommissioning legacy infrastructure that was no longer necessary. This included retiring older on-premises dependencies and supporting the broader transition away from legacy systems that had previously been central to authentication, storage, and remote connectivity.

Workstation Refresh and Operating System Upgrade

To support platform consistency and readiness for the new environment, Techmedics also completed Windows 11 upgrades across applicable systems. This gave the client a more current desktop platform while aligning endpoints with the broader modernization effort.

Outcomes

The project gave the client a more modern and adaptable IT environment built around cloud-based identity, file access, and collaboration. By moving away from on-premises infrastructure, the firm was better positioned to support remote work, simplify access to business-critical systems, and reduce operational reliance on aging legacy platforms.

The migration also helped centralize document access and user data within Microsoft 365 services such as SharePoint and OneDrive, while improving alignment between endpoint configuration, user identity, and cloud-based workflows. Just as importantly, Techmedics helped the client navigate the practical impact of these changes on real-world legal workflows, including document templates, file locations, and application access patterns essential to day-to-day operations.
